What to include

  • A portrait for recruiters — candidates reply faster to a face.
  • A 'Book an intro call' button or an open-roles link.
  • The confidentiality line on the team-wide version, for offers and compensation threads.
  • Pronouns, if your company includes them.

What works for hr & recruiting

  • 1

Recruiters get the portrait and a 'Book time with me' button — candidates reply faster to a face.

  • 2

Use the confidentiality line on the team-wide version; offer letters and compensation threads warrant it.

  • 3

Roll out one standard across the people team so candidates see the same company at every stage.

Common questions

Can we include pronouns?
Yes. Every layout has an optional pronouns field that renders in a lighter weight after the name.
Should HR emails carry a confidentiality notice?
For offers, compensation and employee-relations threads, a short one is sensible. The People Essential and HR Compact templates leave it off; add it from the builder when you need it.

Every template here is free to customize in the signature generator and install yourself. If your company runs on Google Workspace, the same design can be applied to every employee from the admin side — see how team management works.
