How to add your signature to any email client

    In Gmail, click the gear icon, then See all settings. Stay on the General tab.

    Scroll to Signature and click Create new, or select an existing signature to replace.

    Paste into the box, set it as the default for new emails and replies, then click Save Changes at the bottom.

A signature saved on desktop shows in the Gmail app too, as long as the app's own Mobile Signature setting is left off.

Questions about the free email signature generator

Is this really free?

Yes. You can build a signature and copy it into your email client without paying, creating an account, or giving us an email address. The paid products are for people who want the signature installed and kept up to date automatically — MailSignatures Solo for one Gmail inbox, and MailSignatures for Google Workspace teams.

Which email clients does it work with?

Any client with a rich-text signature editor: Gmail, Outlook (web, new Outlook, classic Outlook for Windows, and Outlook for Mac), Apple Mail, Yahoo Mail, Thunderbird, Proton Mail and most others. You copy the signature once and paste it into the client's signature settings; step-by-step instructions for each are above.

Does it work with Outlook?

Yes — paste it into Outlook's signature editor and it keeps the layout, colors, links and images. Classic Outlook for Windows renders HTML with Word's engine, which is why the signature uses table-based markup and hosted images rather than modern CSS. This is manual installation: MailSignatures does not connect to or manage Outlook or Microsoft 365 accounts.

Will the images show up for recipients?

Yes, as long as they're hosted, which is what the upload does. An email can't carry a pasted image file inside a signature reliably; it has to reference an image at a web address. Some clients hide images until the reader clicks "show images" — the alt text and your contact details still render, so the signature stays useful either way.

Can I add a company logo, profile photo or banner?

Yes, and you don't need to host the images yourself. Upload a JPG or PNG and we host it at a permanent address. Pick a layout with a photo slot for a headshot, a logo slot for your company mark, or one that supports a banner for a promotion or event. Without a logo, layouts with a logo slot use your brand color and company initial instead.

Do you store the details I type in?

Your name, title, email and phone number stay in your browser — they aren't sent to a server or saved to an account. The only things uploaded are images you choose to add, because an email signature can only show an image that's hosted at a web address. Uploads are resized, stripped of camera metadata, and hosted at a random, unguessable address.

Can I come back and edit it later?

Yes. Your draft is kept in this browser, so reopening the page brings your signature back to edit and copy again. If you want it saved to an account, synced to Gmail and editable from anywhere, that's what MailSignatures Solo does.

Can I use this to create signatures for my whole team?

The free generator makes one signature for one person. For a team, connect Google Workspace and MailSignatures generates a personalized version for every employee from your directory and writes it into their Gmail — no copying and pasting, and nothing for employees to install. If you're not the Workspace admin, you can share a preview of your design with whoever is.
